Create and manage teams

Some people will use a single team in Mind Map Pro, but some will want to be part of multiple teams. It’s easy to create, manage and join new teams.

When you first sign up, Mind Map Pro will automatically create a new team for your first mind map.

To navigate to more teams or Doodles from a mind map, click on the ‘Home’ icon, which resembles a house.

From here, you can create a new team or a new Doodle.

To create a new team, click the green plus sign next to the word ‘Team’.

Choose a team name, read and agree to the terms and conditions, then click the blue ‘Create Team’ button.

After creating a new team, you will be taken directly to the ‘Team info’ page.

If you want to navigate back to that page later, there are two ways to do so:

  1. Settings
  2. Navigate via profile

Settings

Select a team from the dashboard by clicking the settings icon, resembling a cog, in line with your team.

If you are already viewing your team (and you can see your list of Doodles), click your profile icon, which displays your avatar, located at the top right-hand corner of the screen.

Click on the ‘Team Info’ button.

To edit team information for another team, you can easily switch teams here by selecting your team from the list below.

Edit team info

On the team info page, you can update:

  1. Team name
  2. Team description
  3. Web link (matches team name)
  4. Team image

You also have access to:

  1. See, invite and remove team members
  2. See pending invites
  3. Manage privacy settings

Team name

You can update your team name from the team info page.

Highlight the current text and start typing to replace it with your new team name.

Click the green ‘Save’ button to confirm your changes.

Team description

Below team name, you can add an optional team description to help explain the main focus for the team.

Start typing into the text box to add a team description.

Click the green ‘Save’ button to confirm your changes.

Each team has a unique web link, which team members can type or copy and paste into an Internet browser, or save as a quick link or bookmark.

The web link provides a fast and direct route to your team.

Info

The web link is created automatically to reflect the team name. Eg. if you choose the team name “Alpha”, the web link will become https://alpha.mindmappro.com.

Team image

You can update the image for your team, for example with a logo.

Click on the team image icon in the top left-hand corner. A pop-up will appear, allowing you to choose a new photo to upload.

Drag and drop the image file into the box with the dotted border to upload. Click the blue ‘Save’ button.

If you change your mind, you can click the red ‘Cancel’ button.

Members

On the team info page, you can see a list of all team members.

Invite team members

From the team info page, you can invite members to your team.

To invite a single person to your team, use the text box to enter their name and email address, then click the green ‘Invite’ button.

To invite multiple members to your team, you have two options:

  1. Use the text box to enter multiple email addresses separated by commas and click the green ‘Invite’ button
  2. Drag and drop a CSV file of email addresses into the box to upload multiple email addresses

Pending invites

Invited team members will receive an email from Mind Map Pro and must click a link in the email to validate their place in the team.

Any invited team members will appear as pending invites until they accept the invitation.

You can check which invites are still pending, as well as the date the invite was sent, by clicking on the ‘Pending Invites’ tab that appears.

The ‘Pending Invites’ tab will only be visible when you have pending invites.

Delete a pending invite

To delete a pending invite you sent, open a Doodle. This can be any Doodle in the team you invited the user to.

Click on the ‘Manage users’ icon, resembling a person with a plus sign next to it, located at the top of the screen.

You’ll see the invited user here. You can use your mouse to hover over their name to reveal icons. 

Click the delete icon, resembling a red trash can. When prompted, confirm your decision.

Resend a pending invite

To resend a pending invite, open a Doodle. This can be any Doodle in the team you invited the user to.

Click on the ‘Manage users’ icon, resembling a person with a plus sign next to it, located at the top of the screen.

You’ll see the invited user here. You can use your mouse to hover over their name to reveal icons.

Remove team member

To remove a member from the team altogether, go to Team Info.

Refer to the list of users and click the red ‘Remove’ button, in line with the team member’s username.

A pop-up will prompt you to confirm this change. To confirm, click ‘Remove’ again.

This action will completely remove this member from the team. If you wish to re-invite this person to the team in future, you will need to invite their email address as you did the first time.

Update admin status

For each Doodle, you can different assign team roles to give team members different editing rights. Learn about assigning roles here.

The role with most privileges is the admin role. An admin has access to view and edit all Doodles in a team and can update team roles to change editing rights for any of the Doodles.

Change to admin

From the team info page, you can update the admin status of any team member.

Click the brown ‘Change To Admin’ button, in line with the team member’s username. A pop-up will prompt you to confirm this change.

You can also change an admin status back to a standard user.

Click the blue ‘Change To Standard User’ button, in like with the team member’s username. A pop-up will prompt you to confirm this change.

Privacy settings

You can update the privacy setting for your team, choosing between two options:

  1. Incognito
  2. Visible

Incognito team

Incognito means your team is hidden from public directories.

Visible team

Visible means your team is visible within public directories.

Update team privacy settings

To update the privacy settings, click on the ‘Settings’ tab, beside ‘Plan’.

Select the privacy setting that is best for your team by clicking the circle next to the option.

Once your selection is made, the circle will appear filled and the settings will automatically update.

Manage more than one team

You can have multiple teams if you work on concurrent but separate projects, or with different groups of collaborators.

When you log into Mind Map Pro, you can choose which team to navigate to. The teams list will be positioned in the left hand column when you are viewing your Doodles, so you can switch team easily.

View your plan

To view your plan details, click on the ‘Plan’ tab.

When viewing your plan, you will see the following details:

  1. Type of plan and team package
  2. Number of team members
  3. Number of tasks
  4. Number of weeks of chat history available
  5. File space remaining

From here, you can upgrade your team by clicking the green ‘Upgrade’ button.

Upgrade your plan

To upgrade your plan from the ‘Team Info’ page, simply select your team package and click the green ‘Upgrade’ button.

You can choose a plan based on the number of team members you want in your team.

Quick access to upgrade

When you are viewing your teams from the Teams Portal, you will notice there’s a quick route to upgrading your team.

For quick access, click on the ‘Upgrade’ button beside your team name.

No ‘Upgrade’ tab

Only the Team Owner can upgrade a team.

If you are wondering “How do I upgrade?” and feeling lost because you cannot see an ‘Upgrade’ tab, this probably means that you are not the Team Owner.

You can contact the Team Owner and ask them to upgrade your team, or upgrade another team you have created instead.

Why to upgrade

Upgrade your team for:

  • Unlimited tasks
  • Unlocked chat history
  • More file space

If you have a discount code, type or copy/paste it in the box that says ‘Discount Code’.

Any discount you add will work for all team members in your plan.

Click the green ‘Upgrade Team’ to enjoy these benefits.
