Assign team roles

For each Doodle, you can assign different team roles.

This way, you can control what individuals can read, comment on or edit, so they can contribute in an appropriate way, depending on their relationship to the project.

When you invite a client to your Doodle, you might want them to have different editing rights to a colleague. You can assign a different role to each team member to control their editing rights on a per Doodle basis.

Don’t forget to assign user roles for every Doodle.

Team member

When you create a new Doodle, other people who are already a part of your team are automatically set as Team members and will not see the Doodle until you change their user role. (This is apart from your Team admin, who has full access rights for the team.)

If you invite a user to collaborate on a specific Doodle, your invited contact will join the Doodle as a Commentator.

Please note

Team admin has access to view and manage all Doodles in their team.

Someone might have a Team member role in one Doodle, but Commentator, Contributor and Editor roles for other Doodles.

Commentator

As the name suggests, Commentators can comment on Doodles, but they do not have access to add ideas, delete ideas or edit the content of the mind map in any way. That includes changing colors, rearranging ideas around the Doodle and adding tasks.

A Commentator can join conversations that happen in chat, which includes chat threads in any of the ideas. They can upload images and videos into the chat box too, to help explain their points during discussions.

The Commentator role is appropriate for an individual who you’d like to review your Doodle, or discuss certain ideas with, but doesn’t require access to add to ideas or develop the mind map.

Contributor

A Contributor can contribute to a Doodle, adding and editing their own ideas and tasks, but cannot edit other people’s ideas or tasks.

This is an effective role for encouraging the spark of collaboration whilst ensuring that nobody accidentally deletes ideas or important information that their team members added to the Doodle.

The Contributor role works particularly well for Doodles with a large number of users who are mind mapping together, for example at a conference or workshop.

Editor

The Editor role provides the most freedom for the majority of users who are working in other people’s teams.

For example, a Project Manager may invite several team members to join their team, giving them Editor rights so that everyone in the team can add, edit, delete and develop ideas in any way.

They can chat, store images and files, and add tasks, working on any of the ideas within the Doodle.

One limitations is that an Editor is not able to do is change user roles in a Doodle they did not create.

Team admin

Team admin has access to all Doodles in the team.

They will always be able to see and edit every Doodle and they can oversee all activity that happens within the team.

They are able to change user roles in any of the Doodles to update their team’s access rights.

Try it out

Within a Mind Map Pro team that you own, create a new Doodle and click on the ‘Manage users’ icon, resembling a person with a plus sign next to it, located at the top of the screen.

Drag and drop a Team member into the CommentatorContributor or Editor column.
